System Configuration

Overview

The System Configuration section allows administrators to customize global settings that affect how the entire practice management system operates. These settings control financial information, regional preferences, appointment follow-ups, and various system behaviors.

Accessing System Configuration

  1. Navigate to Settings in the top menu
  2. Select System from the sidebar menu
  3. Click on Configuration

Financial Settings

Invoice Comment

  • A text area for entering payment instructions that appear on all invoices
  • Best used for including bank account information, payment methods, or terms
  • Example: "Payment details: cheques payable to..."

Currency Symbol

  • Select the appropriate currency symbol for financial documents
  • Options include $, €, £. If you need a different symbol added, please contact support
  • This affects how monetary values display throughout the system

Sales Tax Name

  • Customize the label used for sales tax on invoices and financial reports
  • Examples: GST, VAT, or Sales tax. If you need a different tax name added, please contact support
  • This setting affects how tax appears on invoices and statements

Regional Settings

Timezone

  • Set the primary timezone for your practice
  • Affects appointment times, reports, and system timestamps
  • Common options include Australia/Melbourne, America/New_York, Europe/London, etc.

Telecoms Country

  • Set the default country for phone number formatting
  • Ensures proper formatting of phone numbers for sending SMS messages
  • Options include Australia, United States, Singapore, United Kingdom, and New Zealand. If you need additional countries added, please contact support

Appointment Follow-up Settings

Days Before Cancellation Follow Up

  • Number of days in the future to schedule a follow up task for cancelled appointments
  • Default value: 5 days
  • Adjustable using the +/- controls

Days Before DNA Follow Up

  • Number of days in the future to schedule a follow up task for "Did Not Attend" appointments
  • Default value: 2 days
  • Adjustable using the +/- controls

System Behavior Options

Include Next Appointment on Statements/Receipts

  • When enabled, automatically prints the patient's next scheduled appointment on financial documents
  • Helps remind patients of upcoming visits
  • Default setting can be overridden during individual statement generation

Limit Initial Page Load on To Do to Next 30 Days

  • When enabled, the Tasks screen initially loads only overdue tasks and those due within 30 days
  • Improves system performance for practices with many future tasks
  • Advanced search can still be used to view tasks beyond 30 days
  • Recommended for larger practices with extensive task lists

View SMS Fail Warnings in Diary

  • When enabled, displays alerts in the diary when SMS messages fail to send
  • Helps identify communication issues with patients
  • Allows staff to follow up using alternative contact methods

Activate Telehealth Options

  • Enables telehealth features throughout the system
  • Activates video consultation capabilities and related settings
  • Required for practices offering remote consultations

Include Deleted Practitioners for Reports

  • When enabled, includes deleted practitioners in reports. It is recommended that this is disabled if you have a large number of deleted practitioners
  • Ensures historical reporting accuracy even after staff changes
  • Affects financial and appointment reporting

Navigation

  • Save: Apply and save all configuration changes
  • Back: Return to the previous screen without saving changes
  • Help: Access additional information about system configuration options
